This Privacy Policy describes how TaxAI (operated by TAXAIONICS SOLUTIONS LTD.) collects, uses, and shares information when you use our website and services.

Information We Collect

  • Account & contact info (e.g., email address) if you create an account or contact support.
  • Usage info (basic logs such as request timestamps and error logs) for reliability and security.
  • User-provided content you upload to use TaxAI (e.g., financial files you choose to import).

Payment Information

Payments are processed by Stripe. We do not store your full card number. Stripe may collect and process payment details in accordance with their policies.

How We Use Information

  • To provide and maintain the service (imports, exports, summaries).
  • To process subscriptions and manage billing status.
  • To provide customer support and respond to requests.
  • To protect security and prevent fraud/abuse.

AI & Third-Party Processing

We use third-party AI services to provide specific opt-in features. If you choose not to use these features (e.g., manual entry or CSV/PDF import), no data is sent to these providers.

  • Photo Import (OCR) — receipt images you upload are sent to OpenAI (gpt-4o-mini vision model) to extract date, merchant, amount, and tax fields. Images are compressed client-side before upload.
  • Voice Input — your typed transaction description is sent to OpenAI (gpt-4.1-mini) to parse into structured fields.
  • AI Category Assist — when you use AI-assisted classification, transaction descriptions (merchant, amount, direction) are sent to OpenAI (gpt-4.1-mini), or to Anthropic Claude if you supply your own API key.

Per OpenAI's and Anthropic's commercial API terms, data sent via API is not used to train their models and is retained only briefly for abuse monitoring (typically up to 30 days) before deletion.

How We Share Information

We do not sell your personal information. We may share limited information with service providers that help us operate TaxAI, such as:

  • Stripe (payments and subscription billing)
  • Vercel (website hosting and delivery)
  • Supabase (authentication, account data, and session management)
  • OpenAI (AI-assisted OCR, voice parsing, and category suggestion — only when you use those features)
  • Anthropic (AI classification, if you supply your own API key)
  • Google Workspace (support email communications)

If we add analytics in the future, we will update this policy.

Data Retention

We retain account and billing records as needed for operations, security, and legal/accounting purposes. Uploaded files and generated outputs are retained only as needed to provide the service and may be deleted upon request, subject to legal requirements.

Your Choices & Rights

You may request access, correction, or deletion of your data by contacting admin@taxaiapp.com.

Security

We use reasonable safeguards designed to protect information. No system is 100% secure, but we work to protect data in transit and restrict access to authorized personnel and service providers.

Cookies

TaxAI may use essential cookies or similar technologies required for basic site functionality and session management.
